Privacy and data protection information for clients, learners and website visitors

1. Who is responsible for your data?

Farah Kader trading as Hagwon Education Plus is the data controller for this sole trader tutoring business. This means that Hagwon Education Plus is responsible for deciding how personal information is used.

2. What information may be collected?

  • Names and contact details of learners, parents/guardians and adult clients.

  • Student age, academic stage, school year, subject, exam board, current level, learning aims and preferred lesson format.

  • Lesson notes, progress information, attendance, homework and communication records.

  • Booking information, including enquiry form responses, Calendly booking details, Google Calendar entries and Google Meet links.

  • Messages sent by email, phone, WhatsApp Business, website forms, Calendly or other booking platforms.

  • Payment records, invoices, payment status, payment amount, transaction date, payment reference and refund records.

  • Relevant safeguarding, health, access, learning, SEND or support information where necessary and proportionate.

  • Website usage information and cookie data where the website uses cookies, analytics or embedded tools.

3. Why information is used

  • To respond to enquiries and provide information about tuition.

  • To provide and personalise French, English Language and EAL tuition.

  • To manage bookings, lessons, cancellations, rescheduling and client communication.

  • To arrange enquiry calls, online lessons, Google Meet links and Google Calendar entries.

  • To process payments, invoices, receipts, refunds and financial records.

  • To keep business, tax and accounting records.

  • To meet safeguarding responsibilities and support learner welfare.

  • To maintain professional records, improve services and deal with complaints or queries.

  • To comply with legal, regulatory and tax obligations.

4. Lawful bases for using personal information

  • Contract: to provide tuition services or take steps before entering into a tuition agreement.

  • Legal obligation: to keep tax, accounting, safeguarding or other legally required records.

  • Legitimate interests: to manage enquiries, records, payments, communication, website security and service improvement in a proportionate way.

  • Vital interests / safeguarding: where necessary to protect a learner or another person.

  • Consent: where consent is specifically required, such as for optional communications, testimonials, photographs or certain information provided for a child.

5. Sharing information

Personal information is not sold.

Information may be shared only where necessary with trusted service providers or professional advisers, including website, email, cloud storage, booking, calendar, video-call, payment, accounting or communication platforms. This may include Squarespace, Google Workspace, Calendly, WhatsApp Business and Stripe depending on how a client contacts or pays Hagwon Education Plus.

Where clients pay through Stripe, personal and payment-related information may be processed by Stripe to complete the transaction, authenticate payments, prevent fraud, issue receipts, manage refunds and maintain financial records. Hagwon Education Plus may receive limited payment information such as name, email address, payment amount, payment date, transaction reference and payment status, but does not receive or store full card details.

Information may also be shared where required for safeguarding, legal, tax, regulatory or professional reasons, including with a parent/guardian, school, local authority, safeguarding professional, police, HMRC, accountant, insurer or legal adviser where necessary.

6. Children and young people

Where tuition is provided to a child or young person, information may be collected from or shared with a parent or guardian as necessary to provide tuition, manage safeguarding, communicate about lessons and support the learner’s progress. Communication about learners under 18 should normally be through a parent or guardian, unless direct communication with an older student is agreed, transparent and educationally appropriate.

7. How long information is kept

Records are kept only for as long as necessary for tutoring, safeguarding, legal, tax, accounting and business purposes. Financial records may need to be kept for tax and accounting purposes. Safeguarding records may be kept securely for longer where appropriate. When information is no longer needed, it will be securely deleted or disposed of.

8. Security

Personal information is stored using appropriate security measures, including password protection, account security, secure platforms, device security and access controls. Clients should avoid sending unnecessary sensitive information by unsecured methods.

9. Your rights

Individuals may have rights to access, correct, delete, restrict or object to the use of their personal information, and to withdraw consent where consent is the lawful basis, subject to legal, safeguarding and record-keeping exceptions.

10. Concerns or complaints

Please contact Hagwon Education Plus first if you have concerns about how your information is handled. You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.

11. Cookies and website tools

The website may use cookies or similar technologies to make the site work, improve performance, understand website use or support embedded tools such as forms, Calendly, Stripe, Google tools, WhatsApp links, Squarespace features or analytics. Non-essential cookies should only be used where appropriate consent has been obtained through a cookie banner or cookie settings.
